RESPONSIBILITIES:
• Manage the calendars, across multiple time zones, of our CEO, including balancing multiple, sometimes conflicting priorities and deadlines
• Coordinate and manage schedule and logistics of key internal and external meetings (such as leadership team meetings, board meetings, executive meetings, investor meetings, etc.) proactively prioritize all key priorities, milestones, commitments, and deadlines
• Flexible schedule and available to support the needs of the CEO in a very dynamic environment
• Assist with all preparations for meetings and video calls
• Communicate proactively and regularly throughout the day on schedule changes and priorities, keeping executive well informed
• Draft and proofread memos, letters, presentations, contracts, reports, and marketing materials
• Facilitate internal communication, including meeting agendas, notes, presentation decks, and ownership of follow up tasks
• Assist in planning and coordination of company-wide events and activities
• Manage confidential and non-routine information
• Maintain consistent interaction amongst the executive leadership team and with the Chief of Staff
• Provide Board of Directors meetings and event support planning & scheduling meetings, material dissemination, travel etc.
• Help with travel domestic and international travel arrangements for CEO and assist with expense reporting
SKILLS:
• 5+ years of experience in executive support in a fast-paced environment, preferably start-up/high growth
• Highly organized with strong project management and prioritization skills
• Superpowers in attention to detail, organizational and planning skills, and ability to achieve results under tight deadlines
• Self-starter with ability to take initiative, exercise judgment, and work independently; takes ownership and responsibility
• Relationship-builder with experience supporting executives across different time zones and creating connections across a dispersed team
• Expert scheduler with Microsoft Outlook, comfortable with frequently shifting schedules (and reschedules)
• Exceptional verbal and written communications skills
• Efficiency expert who leverages creative problem-solving skills
• Experienced at interacting with everyone in the company and outside parties
• Professional demeanor and a positive attitude about work and providing service – no task is too big or too small
• High sense of ownership and responsibility
• MS Office skills and the ability to learn unfamiliar software programs (Box; Sharepoint; Expensify)
• Bachelor’s degree or equivalent work experience in Executive Support and Office Management
